2009 SAE World Congress Green Ride-n-Drive
Purpose:
Showcase the new "green" technologies available in vehicles or to be available in the future to the consumer. The event ties the theme "Racing to Green Mobility" to actual product.
When:
Earth Day, Wednesday, April 22, 2009
1:00 to 4:00 p.m. EDT
Where:
Civic Center Drive and Atwater (back of Cobo Arena)
Eligible Vehicle Providers:
Any OEM or supplier which participates in the OEM/Supplier Park display area, the sponsors of the three theaters (AVL, FEV, Consulting4Drive and ATX Group) and other major sponsors of the Congress.
Eligible Vehicles:
Any light duty vehicle that contains technology that contributes to green mobility (i.e., hybrids, diesel, fuel cell, alternative fuel vehicles, etc.)
Number of Vehicles per Company:
Initially one per company will be permitted. An additional vehicle may be permitted depending on the number of participating companies.
Participating Audience:
- Vehicle Provider Selected VIPs
- Media
- Government Officials
- All participants must have valid U.S. or international drivers license, valid auto or medical insurance card, and sign a waiver.
Schedule:
- 15 minute time slots
- First two hours will be scheduled drives for each vehicle. Last hour will be walk-up drives.
- Schedule of participants for first two hours is the responsibility of the vehicle supplier.
Ride-n-Drive Route:
- Similar to route used by 2007 DOE DEER event
- Up Civic Center to Washington Blvd.; left onto Congress and onto Lodge Freeway; Lodge to I-75 to I-375; exit onto Jefferson and left onto St. Antoine St.; right on Atwater and right onto Civic Center.
SAE Responsibility:
- Logistics and planning of event
- Coordinate sign-up of vehicles from eligible companies
- Interface with Cobo staff, local police and other government authorities to secure permission and any permits required to conduct event.
- Coordination of vehicle appointment/schedule with all vehicle suppliers
- General signage for event
- Insurance for event and waivers for participants to sign.
- Staff to obtain signature on insurance waivers and check required participant insurance cards.
- Promotion of event to media attending Congress
- Production of Ride-n-Drive spec sheets (one for each vehicle) and folder to give to each participant.
- Security for vehicles while at event.
OEM or Supplier Responsibility:
- Provide SAE International staff with completed "Intent to Participate" form by November 26, 2008
- Sign the SAE-provided Release of Liability form
- Provide Insurance Requirements to SAE along with a Certificate of Insurance on the participating vehicle
- Provide technical information for SAE produced spec sheet for each vehicle.
- Promotion of Ride-n-Drive event to intended VIPs, media and selected government officials.
- Staff to accompany vehicle to event (unloading until pick-up).
- Staff to interface with attendees participating.
- Staff to ride in vehicle while being driven by attendee.
- Specific information signage at event for vehicle supplied.
- Fuel needed by vehicle supplied during the event.
- Detailing of vehicles on-site.
