Online Submission

There has been a slight confusion on using the SAE.org website and using the FSAEonline.com website that we have for Formula SAE North American Competitions. Below is a breakdown of what each website is for and the information that is required on each. Please let us know if you have any questions and we will be clear up any problems/concerns. Submission Procedures

Teams competing in any North American Formula SAE competition must submit all documents online through www.fsaeonline.com except for the exceptions below.  The standard submission format is located under the Rules/Resources tab above.

Cost Reports 

All teams will build their Cost Report and eBOM online in the Cost Module. Access can be found under team profile page on fsaeonline.com. Teams will need to complete the report and eBOM online BUT are still required to print a Hardcopy of Cost Report to be mailed for onsite judging in 2018. There is a feature which allow you to print your cost report after building and submitting the vehicle report online.

Program Submissions Requirements and Deadlines

To be printed in the competition program teams must have all of the following submitted online under their team's registration page:

  1. Design Summary of 1200 characters or less.
  2. Team Photo - This should be a photo of your team with the car. Photo size requirements: jpeg format; maximum file size 2000 KB; minimum image size of 1000 pixels.
  3. Three CAD Drawings (similar to what you provide in design reports)
    • FRONT-SCHEMATIC. Photo size requirements: .927 inches wide x .763 inches high; 278 pixels wide X 229 pixels high; 300 ppi
    • SIDE-SCHEMATIC. Photo size requirements: .927 inches wide x .52 inches high; 278 pixels wide X 156 pixels high; 300 ppi
    • TOP-SCHEMATIC. Photo size requirements: .927 inches wide x .1.79 inches high; 278 pixels wide X 537 pixels high; 300 ppi

Understanding the Cancellation Process

Please be advised that NO REFUNDS will be given if your team withdraws from a competition. Non-Refundable Registration Fees Policy still applies to teams withdrawing from active Registered Team List.

If you add your team to any waitlists and register for another, registration fees WILL NOT be transferable. We will also not transfer teams or registration fees between competitions. If your team has the option to become active on the registered team list for the competition, you will be required to pay a second registration fee and vice versa.

Should your team decide to withdraw OR to be taken off the waitlist for any competition, please notify collegiatecompetitions@sae.org at least six weeks prior to competition date.  Notifying us allows another team on the Wait List to be offered your spot.

Vehicle Shipping Procedures

Note - The following procedures apply specifically to shipments to Michigan International Speedway, but they include items that should be considered for all FSAE vehicle shipments.

These procedures are only a starting point - Check with your shipper or freight forwarder to make sure your shipment meets their requirements. Also be sure the shipment complies with any and all relevant US Customs regulations.

Shipping any car may be considered hazardous by the Federal Aviation Administration (FAA), may be inspected and must be signed off by someone trained in HazMat shipping to be properly shipped. Please make sure you fully inform your shipper/freight forwarder of the contents of your shipment to avoid any issues.

Recommendation - Ship early to be sure your vehicle arrives in time for the competition.

SAE staff can not give advice on shipping, customs regulations or visas.

Incoming Shipments

Earliest Delivery Date—Contact collegiatecompetitions@sae.org

Receiving Organization—All labels and documents associated with the shipment must show the team or university as the receiving party. Do not ship your vehicle with either the organizer or competition site listed as the receiving party. Neither SAE nor MIS will execute customs or shipping documents of any type.

MIS shipping can be reached through the administration building, 517-592-6666. Faxes can be directed to 517-592-3848.

Customs & Shipping Paperwork—All paperwork, documentation and/or forms required for inbound/outbound shipping or customs clearance must be completed and supplied by the school/university. Michigan International Speedway staff cannot prepare any shipping documents for inbound or outbound shipments.

Paperwork is the sole responsibility of the team.

Customs Regulations—It is the responsibility of the team to adhere to all US Customs regulations. All inbound shipments are subject to US Customs inspections.

Team Contact—To provide support services for inbound / outbound shipments, and especially to resolve any problems that might arise, each team must provide the names and cell phone numbers of two (2) contact people - preferably the team captain and the faculty advisor. Section 5 must be completed.

Damaged Shipments—Inspecting shipments and reporting and documenting damage to the shipment is the sole responsibility of the receiving team. Neither MIS nor SAE is responsible for damage to your shipment from any cause including negligence.

Outgoing Shipments

General—All shipments must be packed and the crates properly sealed and labeled before the team leaves the site on Saturday.

It is each university's responsibility to schedule the pick-up of your outgoing shipment and prepare all the paperwork required for the shipment. All shipping and customs forms must be filled out by team/university representatives.

MIS personnel are not allowed to make arrangements for import or export shipping and scheduling.

Important Notice—If your shipment is not removed from MIS by the date and time specified above you will be charged for storage and handling. Fees assessed are a minimum of US $200.00 per whole or partial day.

Outgoing Carrier—Teams must provide the name of the carrier that will pick up your outgoing shipment. See Sections 4 and 5 below for details.

Expedited Shipments—Any shipment expedited from MIS at the request of a school must be accompanied by the team's chargeable account number (Fed Express/ DHL).

Shipping Crates/Containers

Shipping Crates/Containers—Shipping crates/containers must have hi-low fork lift access from ends and sides. The shipping crate/container must fully enclose the car The base of the crate/container must be strong enough to support the entire weight of the shipment when it is being picked up, rotated and moved by a fork lift or similar equipment.

Weatherproof—Be aware that crates are likely to be stored outside and should be weatherproof.

Wood Crates/Containers—Wood crates/containers must be of insect resistant or treated materials suitable for international transportation Wood crates, containers and pallets should be screwed or bolted together.

Crate/Container Marking—All shipping containers must have the school's name permanently and clearly marked.

Crating & Uncrating—Crating and uncrating is the sole responsibility of the team. Important Reminder - Do not pack the tools you need to open the crate inside the crate itself.

Unloading & Loading—Loading and unloading is the responsibility of the teams. MIS has a forklift available during business hours for loading/unloading.

You must email the information outlined in Section 5, below, to collegiatecompetitions@sae.org at least one (1) week before your shipment is scheduled for delivery:

Contact Information—The names and cell phone numbers of two (2) team members or advisors who can be contacted concerning the shipment.

Outgoing Shipment Carrier—The name and contact information of the carrier picking up your outgoing shipment.

Consequence—If you do not provide this information we will be unable to contact you if any questions or issues arise concerning your shipment.

Spectator Policy

Drone use is prohibited at all SAE Collegiate competitions unless under contract with SAE International.

A "spectator" is defined as anyone who is not (1) a volunteer with event operating responsibilities, or (2) a member of a team with the proper credentials/identification. In most cases event operating volunteers and team members can be identified by their t-shirts, uniforms or credentials.

Spectators are welcome to observe CDS competitions from within the designated spectator areas and other parts of the site to which they are granted access. Spectators may not enter the course area. Spectators must obey the spectator rules and site use rules at all times and follow the instructions of the competition organizers and marshals.

Permitted Access—Spectators may enter:

  1. Designated spectator areas - Spectator areas are always outside the course.
  2. Team paddocks
  3. Parking lots, food vendor areas, rest rooms and connecting walkways, roads or paths

Restricted Access—Spectators may not enter:

  1. Technical Inspection Area including practice and testing sites
  2. Static Event Areas
  3. Dynamic Event Areas including practice tracks
  4. Any area with signs indicating "Restricted Access" or "No Access"

Spectators may not sit or stand on any barriers or fences. Most venues will have bleachers.

Spectators who enter any restricted area will force an immediate event shut down and may be ejected from the site.

No Exceptions/Removal—There are no exceptions to the spectator rules. If a spectator is caught not following the rules then he/she can be asked to leave the site.

Photographer Policy—Except for credentialed press photographers all photography must be done from within the designated spectator areas. Credentialed press photographers may be granted access to a designated photographer area under the terms of the separate Photographer Policy. Credentialed press photographers must identify themselves to the organizers and/or CDS staff in the registration area and comply with the photographer rules in effect at the event. Photographers who wander outside the spectator and photographer areas will be asked to leave.

Spectator Maps—Maps showing the general layout of the competition site and the location of the Spectator Areas may be available to spectators in the registration area. The Spectator Map will include the Permitted Access and Restricted Access list (above) and the location of those areas.

Visa Requests

Affiliated CDS Student Team Members will have the ability to print out a Registration Confirmation Letter for the individual event(s) that they are attending. Once a student team member affiliates themselves to their teams profile page under their individual edit section. They will have the opportunity to print out their personalized letter with the following information: Student's Name, the School's Name, the SAE Event Name, Official Dates and Location(s).

Please be advised that SAE International cannot intervene with, or call or send personal letters to, the State Departments, Embassies or Consulates of the United States or other governments on behalf of any meeting or event participant.
